Using the ACS screen

Updated on 10/25/2026

The Assets, contracts and stock screen (Asset Manager menu) brings together the organization, the fleet, contracts and stock in one place: a navigation tree on the left, and on the right a panel that shows what is attached to the chosen node.

It is open to administrators, Asset managers, Contract managers and Stock managers, provided they can read at least one of the object types involved. Each branch then shows only what you are allowed to read: a contract manager only sees contracts there.

The tree

The tree expands one level at a time. From top to bottom:

  • Organization: the companies, then for each of them its Departments, Locations and Cost centers;
  • the branches of the modules installed on your instance: Assets, Contracts (with By type and Expiry dates), Stock (with Storage rooms, Items and Thresholds reached). A module that is not installed has no branch;
  • Suppliers: every third party recorded in the CMDB (customers, partners and contractors included: the list is not filtered to suppliers only).

The Filter the tree… field narrows the tree to the nodes whose name matches, with their ancestors. When there are too many results, the message "Partial results: narrow your search." says so.

The tree uses the Data grids module: if it is not available on your instance, the tree is not shown.

The panel

Click a node to open its panel. Depending on the node, it shows:

  • for a company, a department, a location or a cost center: the Users, the Storage rooms and, depending on the installed modules, the Assets and Contracts attached to it;
  • for a supplier: what concerns it, for example its contracts;
  • for the module branches (contract expiry dates at 30, 60 and 90 days, stock levels…): the matching list, detailed in each module's page.

Each row leads to the object's page. Each list has its own Filter… field; it stops at the first 200 rows.

The Add button of a section creates an object already attached to the node (for example a user or an asset attached to this location). It only appears if you can create that type of object. When creation goes through the generic CMDB form, you then return to the original panel.

From an object page opened from this screen, the ACS dashboard button takes you back to the panel you left.

Ordering from a threshold reached

Under Stock › Thresholds reached, each item below its threshold shows the room, the missing quantity and the preferred supplier. The Order button creates a draft purchase order with that supplier; the message "Draft purchase order created." confirms it. You need the right to edit stock items.

The Order button stays greyed out, with the reason shown, if the item has no preferred supplier or no unit cost. The order is refused, with a message, if the proposal has just been processed by someone else.

The dashboard

The Dashboard button opens the Asset Manager widget dashboard (fleet, contract and stock indicators), described in the Managing assets page.
