The Usage screen (menu Administration › Instance and operations › Usage) tracks services consumed per unit — artificial intelligence (in tokens) and text messages (SMS, in segments) — and sets their caps and alerts. It is reserved for Administrators. No content is kept: neither message text nor instructions sent to the AI.
Each service has its own card, shown when its module is installed. A service that is not configured (for example AI set to None) shows This service is not configured: nothing is measured., but its settings can still be changed.
Reading usage
Choose the Period: Current month, Last 3 months, Last 6 months or Last 12 months. For each service:
- the totals: Operations, units consumed (Tokens or Segments), Failed or refused operations and Estimated cost (calculated when a price is set, otherwise "—");
- the month level: This month, with the cap and the percentage reached, or (no cap); depending on the service, the Provider balance and, if your subscription includes this service from the publisher, the Remaining prepaid credit, with Credit used up and the Expires date of the current top-up;
- the breakdown By month, By feature, By provider and By user (System for automatic tasks).
CSV export downloads the breakdown for the period. Details opens the service's own screen when there is one (AI usage).
Setting caps and alerts
Each card's Settings and low-level alerts section is saved with its own Save button. An empty field means "not set".
Artificial intelligence:
- Monthly cap (tokens) and Monthly cap per user (tokens);
- Block chat at the cap: Yes blocks AI chat calls once a cap is reached; otherwise the cap only raises alerts;
- Log retention (days, 365 by default).
SMS:
- Monthly cap (segments): once reached, text messages are refused, except two-factor codes, which are never blocked;
- Price per segment: used for the estimated cost;
- Log retention (days, 365 by default).
Alerts, common to both services:
- Alert thresholds (% of the cap, e.g. 75,90);
- Alert when at most this remains (units under the cap);
- Alert when the provider balance drops to;
- Prepaid credit alerts (% remaining, e.g. 20,10,5): only with a prepaid credit from the publisher; when empty, the 20, 10 and 5 % levels apply, and an alert is also sent when the credit is used up. SMS credit used up: text messages are refused, except two-factor authentication codes;
- Group to notify: Administrators (default) or another active group.
Group members receive a notification and an email, only once per threshold and per period, within a minute of the threshold being crossed. If several thresholds are crossed at once, a single message is sent: the one for the furthest threshold. Prepaid credit alerts have their own message (credit concerned, balance, what happens when it runs out, top-up to order from the publisher or switch to your own AI or SMS account); its text can be edited in the templates ("Prepaid credit - Threshold reached"). An incorrect value shows Invalid value: a positive number is expected (percentages from 1 to 100 separated by commas). and nothing is saved.
