A client contract describes what a client signed with you: its end date, its renewal and the amount they pay regularly. It complements the supplier contracts of the Contract management module. The screens are reserved for administrators and the Contract managers group.
Client contract list
The Client contracts page (/client-contracts) lists every contract, the nearest end date first. You can:
- search by number, name, client or origin (case and accents are ignored);
- filter by status: active, ended, terminated;
- filter by end date: within 30, 60 or 90 days.
An end date within 30 days is highlighted.
Entering a contract
New client contract opens the form:
- Client: the client organization;
- Name, start and end date (leave the end date empty for an open-ended contract);
- Renewal: none, automatic (the contract extends by itself at its end date) or explicit (renewal is decided);
- Renewal term in months, required for automatic renewal;
- Notice period in days;
- Recurring amount excluding tax, with its currency and frequency (month, quarter, half-year, year);
- Notes.
Each contract gets a number, for example CC-2026-00001.
Automatic and explicit renewal
Every night, the ClientContractRenewal task handles contracts that reached their end date:
- a contract with automatic renewal is extended by its renewal term;
- the others become ended.
On the record, Renew moves the end date forward by the chosen term (the renewal term by default, otherwise 12 months) and makes the contract active again.
Terminating
Terminate asks for a reason and an end date (the planned end date by default). A terminated contract can no longer be edited or renewed.
Where do contracts come from?
A contract is entered by hand, or created from a CRM order when the CRM administrator turned on the "Client contract" handoff action. The record then shows the link to the order, and the order's subscriptions are linked to the contract.
Elsewhere in the application
- CRM installed base: the end date of an active contract becomes a renewal opportunity, 90 days before by default.
- Merging two CRM accounts: the absorbed account's contracts move to the kept account; the record shows "Taken over from an account merge".
